Product/To manage the money/Snap receipts

Snap the receipt. That's the whole job.

Take a photo of the receipt. Knox reads the store, the date, the total and the HST, files it under the right expense and attaches it to the job. If a cleaner paid out of pocket, the money owed lands on their next pay stub.

What changes

The shoebox, retired

A shoebox of faded receipts

A photo, read by AI and filed

Typing totals into a spreadsheet

Expenses sorted by category

Cleaners waiting to be paid back for supplies

HST you can claim back added up

How it works

From a crumpled receipt to your books

The photo takes ten seconds. Everything after it happens without you.

  1. Gas, supplies, parking: photograph the receipt and Knox fills in the store, the date, the total and the HST, and suggests a category. Check it, fix anything that's off, save. Nobody types a total into a spreadsheet at 11 PM.

Questions

What owners ask about snap receipts

How long do I have to keep business receipts in Canada?

Generally six years from the end of the last tax year the records relate to, according to the CRA. There are exceptions, for example if you file a return late or object to an assessment, so check the CRA's page on keeping records or ask your accountant.

Can I throw away paper receipts after I photograph them?

The CRA says imaged copies can become your permanent records, and the paper can be destroyed, when the imaging meets the national standard it names (CAN/CGSB-72.34): an accurate copy with nothing important lost. If you can't meet that standard you have to keep the originals, and the CRA says to get legal advice if you're in any doubt. Many owners keep the paper for big purchases anyway.

What does a receipt need to show to claim the HST back?

It depends on the total. Every receipt needs the store's name, the date and the total. From $100, it also needs the GST/HST charged and the store's GST/HST registration number. From $500, it also needs your business name, a short description and the payment terms. Most till receipts print the HST number at the bottom; check it's there on anything over $100.

Is a credit card statement enough as a receipt?

Not for claiming the HST on a purchase of $100 or more. A statement shows the store, the date and the amount, but not the HST charged or the store's registration number, which the CRA's rules ask for from $100. Keep the receipt itself.

How do I pay a cleaner back for supplies they bought?

They hand you the receipt, you snap it and mark it as a reimbursement. It shows up as its own line on their next pay statement, with the receipt attached, and you pay them however you already pay your team. How a reimbursement is treated for tax depends on the arrangement, so ask your accountant if you're unsure.

Does More Knocks file my taxes?

No. It reads and files your receipts, keeps the HST you paid apart so you know what you can claim back, and puts your expenses in your books ready to export. Your accountant or bookkeeper does the filing.
