Product/To manage the money/Invoices & Canadian tax
Invoices with the tax done.
Cleaning invoice software with Ontario HST, your tax number and every change on the receipt.
Every payment sends a receipt and a PDF invoice: the deposit, the balance and the tip. HST is worked out and shown on its own line, your HST number is printed on every one, and every invoice lines up with a payment, so your books match your bank.
What changes
Invoices you never type
Invoices typed up by hand, or not at all
Deposit and final invoices from the job page
HST added one way on Monday and another on Friday
Sales tax calculated for you
"Can you send me a receipt with your HST number?"
Your HST number on every invoice
Extra work billed in an awkward text
Price changes on the record, next to the quote
How it works
Paid, receipted, done
Nothing to fill in after the job. The payment is the trigger.
The deposit at booking, the balance when the job is done, the tip if there is one: each payment sends its own receipt, branded with your company name. Customers stop emailing to ask what they paid for.
Ontario HST at 13% is calculated for you and shown separately from the price, never buried in it. Prices are in Canadian dollars, so nobody does a conversion in their head.
KnoxThirteen percent of a $2,000 office contract is $260. I'd rather you didn't round it.
Your registration number is printed on every invoice. That's the line an office, a property manager or a registered Airbnb host needs to claim the tax back, and the reason they keep emailing for corrected invoices when it's missing.
The job ran long, or the customer added the oven on the day. Add a price change and the receipt shows the original quote next to it, so the customer sees exactly why the total moved.
There's no invoice without a payment behind it and no payment without an invoice. When your bookkeeper asks for the month, the invoices and the bank deposits already agree.

Why invoicing eats your evenings
The clean takes three hours. The invoice for it takes ten minutes, at 10 PM, on a phone, after a day of cleaning. Multiply that by every job in a week, and invoicing is a part-time job nobody signed up for.
- The template that's never quite right. Last month's invoice, copied, with the old customer's name still in the footer.
- The tax math. Was the oven add-on taxed? Did the deposit include HST? You do it slightly differently every time.
- The receipt request. "Hi, can you send me a receipt with your HST number? My landlord needs it." Three weeks after the job.
- The extra work. The kitchen took an extra hour. Now you have to explain it in a text, then figure out how to bill it.
None of this is hard. It's just constant, and it's the kind of work that gets done badly when you're tired. Which, if you own a cleaning company, is most evenings.
What goes on a cleaning invoice
A good cleaning invoice answers every question before the customer asks it. Here's one from a demo company, Your Cleaning Co., for a deep clean where the kitchen needed an extra hour:
Your Cleaning Co. · Invoice 1042
- Billed to: Priya S., 21 Elm St, Toronto ON
- Deep clean, 3 bed, 2 bath (quoted)
- $290.00
- Extra hour, kitchen grease (added Oct 18)
- $50.00
- Subtotal
- $340.00
- HST 13% (ON)
- $44.20
- Total
- $384.20
- Deposit, paid Oct 2
- −$99.00
- Balance, paid Oct 18
- $285.20
Reading it top to bottom, that's nine things:
- Your business name and address, so it's clearly from a real company.
- Your GST/HST registration number, if you're registered.
- An invoice number and a date, so you can both refer to it.
- Who it's for and where: the customer and the address you cleaned.
- The scope at the quoted price, so nobody wonders what they paid for.
- Any change, with the date and reason, listed on its own line.
- The tax, shown separately, with the rate.
- The total.
- What's been paid and what's left: the deposit, the balance and when each was paid.
How to invoice for cleaning services
Whatever you send invoices with, the same six habits keep them clean and keep you paid:
- Agree the price before the clean. An invoice should never be the first time the customer sees the number. Quote it, have them accept it, and take the deposit.
- Send a deposit invoice at booking. The deposit is a payment, so it gets its own receipt with the tax shown. The customer has a record from day one.
- Note any change on the day. Extra work, an add-on, an hour of kitchen grease. Agree it with the customer before the crew leaves, and put it on the job.
- Send the final invoice right after the clean. The quote, the change, the tax, the deposit already paid and the balance. Same day, while the work is fresh.
- Show your HST number every time. Customers who claim tax credits need it, and tenants ask for it for their landlord. It costs nothing to show it on every invoice.
- Keep every invoice tied to a payment. When each invoice matches a payment, your books match the bank, and quarter-end is a total, not a treasure hunt.
Steps two, four and six are where owners lose the most time, because they happen on every single job. That's exactly the part software should do for you.
Cleaning invoice software: deposit and final invoices
In More Knocks, you send deposit and final invoices from the job page. The deposit invoice goes with the deposit the customer pays when they book on your booking page. The final invoice goes after the clean, once you've checked the job and charged the balance to the card on file. More on that in cleaning business payments.
Sales tax is calculated for you, and your HST number is on every invoice. The receipt shows the quote, any changes and what was paid, branded with your company name. Customers can keep it as a PDF, and tenants can forward it to their landlord without asking you for anything.
Because every invoice comes from a job, it's tied to that job's payments. Refunds and credit notes are issued from the booking too, so they show up correctly in your revenue reports instead of on a separate list you have to remember at tax time.
Price changes after the job, on the record
The job really was bigger than the quote. The customer added the oven on the day. The kitchen needed an extra hour. You shouldn't have to redo the quote, and the customer shouldn't feel ambushed.
Add a taxable price adjustment to the job. The receipt still shows the original quote, with the change on its own line next to it, so the customer sees exactly why the total moved. Nothing is rewritten and nothing is hidden. If the quote was signed online, the signed copy stays locked; the adjustment sits beside it. More on quotes in cleaning quote software.
The rule that keeps it fair: tell the customer before the crew leaves, then add the change. An adjustment they agreed to on the doorstep is a line on an invoice. One they find on their card statement is a complaint.
HST for cleaning businesses in Canada
Tax is the part of invoicing owners worry about most, so here are the basics in plain words. This is general information, not tax advice: your accountant and the CRA have the final say.
When you need to register
Most small businesses have to register for a GST/HST number once their taxable sales go over $30,000 in a single quarter or across four consecutive quarters. Before you're registered, you don't charge HST. Some owners register earlier by choice, so they can claim back the HST they pay on supplies.
What to charge
Cleaning services are taxable. In Ontario, that's 13% HST on the clean and its add-ons. Other provinces charge different rates, or GST plus a provincial sales tax. More Knocks handles Ontario HST today; other provinces are on the list.
What your invoice needs to show
Business customers and property managers who claim tax credits need certain details on your invoice. For anything $30 or more, that includes your GST/HST registration number and the tax charged; for $150 or more, also the customer's name, a description of the work and the payment terms. Showing all of it on every invoice keeps everyone covered. The CRA's GST/HST pages have the full rules.
At the end of the quarter
More Knocks keeps a quarterly sales tax summary of the HST you've collected, ready for your filing. The expenses you log with snap receipts track the HST you can claim back. You or your accountant still file the return, but nobody spends a weekend adding up invoices.
Tips, refunds and credit notes
When a customer tips, the tip is split evenly among the cleaners who worked that job and added to their pay, so the crew gets what the customer meant them to have. When money has to go back, refund the payment or issue a credit note from the booking. Either way, the invoice, the payment and your reports all agree.
Before an invoice goes out
A quick check that saves a phone call later:
Is this invoice right?
- Your business name, address and HST number are on it
- It has an invoice number and today's date
- The customer's name and the address cleaned are correct
- The scope matches what was quoted and accepted
- Any change has its own line, and the customer agreed to it
- The tax is shown separately, at the right rate
- The deposit already paid is shown
- The balance and how it was paid are clear
- It went out the same day as the clean
Questions
What owners ask about invoices & Canadian tax
What should a cleaning invoice include?
Your business name and address, your GST/HST number, an invoice number and date, the customer and the address cleaned, the scope and add-ons with prices, any change made on the day, the tax shown separately, the total, and what's been paid: the deposit, the balance and anything still owing.
Do I have to show my HST number on invoices?
If you're registered, show it. Customers who claim tax credits, like property managers and businesses, need your GST/HST number on invoices of $30 or more, and plenty of tenants ask for it for their landlord. Showing it on every invoice is simplest, and More Knocks puts it on every one.
What HST rate do I charge for cleaning in Ontario?
13%. Cleaning services in Ontario are taxable, so once you're registered you charge 13% HST on the clean and its add-ons. Other provinces charge different rates, or GST plus a provincial sales tax. More Knocks handles Ontario HST today; ask us on the demo call where your province stands.
How do I bill for extra work found on the day?
Tell the customer before the crew leaves, then add a price adjustment to the job before you charge the balance. The adjustment is taxed like the rest of the clean, and the receipt shows the original quote next to the change, so the customer sees exactly why the total moved.
When should I send the final invoice?
Right after the clean, once you've checked the job and charged the balance. The work is fresh, the customer is happy, and a receipt that arrives the same day looks like a real business. The deposit invoice goes out earlier, when the booking is made.
Does More Knocks file my HST return?
No. It keeps the numbers ready: the tax on every invoice, and a quarterly sales tax summary for your filing. You or your accountant still file the return with the CRA. Receipts you snap for expenses also track the HST you can claim back.
